ManagePro 9.0 - What's New and What's Fixed... What Happened to 8.5?
- If you are using a shared database on a LAN server note that once you upgrade the first user, all other users will not be able to access the database on the server until they upgrade - so plan your cutover accordingly, e.g. do it all at once.
- We will be upgrading the middleware if you use our hosted server Sunday evening November 30th. So if you are using ManagePro Smart or ManagePro Plus, you will need to upgrade your version of ManagePro prior to running the program (Smart users) or synching (Plus users) on Monday morning December 1st.
- If you are self-hosting, we will provide you with the middleware upgrade package on Wednesday morning, November 26th. Please schedule an appointment if you would like assistance upgrading your server.
- For all of you who can't wait, we will have a pre-release version available Wednesday afternoon that you can download and play with over the Thanksgiving weekend. See instructions at the bottom of this section.

The Silver Bullet... You've Been Asking Us For
-
1. How do I lay out my business, my department, my projects in the database? What's the best way to see and track everything I want to do?
-
2. How do I get others, my people, the team, the organization... to adopt or use it?
-
1. Knowing how to configure ManagePro to wrap around your business
-
2. Knowing how to get other people to use ManagePro
-
3. Knowing how to deploy ManagePro across an organization
It just kept growing. That's all we can say. Earlier this fall it was Version 8.3, then 8.5, and now... Boy, we kept adding features, and it began to feel like the new version was just never going to leave. Sort of like packing for a trip where you keep finding a reason to repack to include a couple more "must have" items. But at this point it's heading out the door Monday, December 1st as 9.0, right after Thanksgiving... yes we are thankful. Hopefully you will be as well.
I wanted to give you a head's up about a couple of things you need to know.
1. First of all there are a lot of new features and fixes- it deserves a full upgrade number. Everything from new performance features to making ManagePro 64-bit. You'll understand when you look at the lists below.
I'm going to create a video that quickly goes through a majority of the new issues, plus an annotated list with screenshots, so you will feel well prepared to take advantage of what's in the new release with both a print-out and video to support you. I will send you an email next week on Tuesday with links to both, so be checking your email.
When you look at the lists below - you'll see that I have my work cut out for me. After you look at the list, you may decide to call us and order some training and review time over the web and phone - do what's best for your organization.
2. This release involves a background database conversion. That means that if you are using ManagePro in any multi-user setting, everyone needs to upgrade.
Ok, let's go over what's new and what's been fixed.
New Features:
| 1 | Added timecard tab to details form. Added CSV import, custom reports, quick reports, export to excel. |
| 2 | Added a new filter criteria for Dates "Is Today". |
| 3 | Additional controls put in place for users with "Read Only" access - Read only users now have yellow lock access to goals to which they are assigned but cannot add, delete, promote, demote, copy, paste or import goals. |
| 4 | Added ability of Admins to change the embedded logic effecting Status, relative to Start and Due dates by adding an "Automatic Status Configuration" "Enable" checkbox to the "General Preferences" which allows admin users to enable or disable the logic that automatically sets goals to a status of "Behind", if they have passed the Start Date without being set to "On Track" or passed the Due Date without being set to "Done". The logic can be modified for both Start and Due or either separately. |
| 5 | Improved goal "type" import flexbility. Task icon now shows for any type value that starts with the word "task," Action Plan icon shows for any type that starts with the word "action," Heading icon shows for any type that starts with the word "heading". eg. terms in the import column such as "Task", "Task List", "Task Item" would all display the task icon. "Action", "Action Plan", "Action Step", "Action Hero" would all display the "Action Plan" icon. |
| 6 | Added new General Preferences setting on the "Todos" tab to specify the default time for new Todo items, you can specify hour and minute. Default is 9:00am. This preference setting will sync to other users. |
| 7 | Added ability to recover related data when recovering deleted GAPR records. Now when you delete goals and select to delete related data the relationship is maintained and restored on undelete, eg. when you undelete such a goal you also undelete all its related data items and they are still attached to the goal. Note: This only works with goals deleted after use of build 478. |
| 8 | Added ability to calculate and display critical path withing Gantt Timeline view. Added as a button in the GAPR view, which autocalculates after selecting and "end-point" record, e.g. a record to which other records are linked. Also added a button to only display the critical path, to provide a decluttering effect if a user does not want to see any other dependency links. |
| 9 | Added options to display of fields in Details view, including the relative position of the title of a field above the field contents. |
| 10 | Improved clarity of saving and deleting new records. The "Save Changes" button stays enabled for new records when switching tabs (and auto-saving changes). For existing records the "Cancel" button changes to a "Close" button to avoid confusion (since the changes have already been saved and you can't actually cancel). |
| 11 | Created a simplier, clearer way to manage Unique IDs when importing records. Removed the "-Unique ID-" mapping from the import dialog and replaced it with a drop down list option. Note: If you select a Unique ID field from the list you will also get a prompt if you do not map the field to a CSV column |
| 12 |
The "Terminology" editor now allows you
to sort picklists by the "Text" column
and save this order as the default sort.
If you sort a list then when saving it
(either via the "Save" button or "Save
Changes" prompt) you will be prompted
"Do you wish to save the current sort
order?". This does not
apply to the Status and Risk fields,
because of the logic tied to the list
order/sequence |
| 13 | Added right-click "Save As" function to all User Data List and Calendar views, e.g. when viewing Todo list, user can highlight any record and save a copy of it to a progress update or event. |
| 14 | Added option to save related data records along with a GAPR record when copying and pasting. Users now get a "Paste Options" dialog when pasting records which allows you to select related Documents, Todos, Events and Progress Updates to be copied. |
| 15 |
Added in-place editing to all views for
the following datatypes: Events Todos Progress Updates People & Meetings (resources) TimeCards Feedback Recognition |
| 16 | When dragging and dropping email, ManagePro now opens the record first for editing, before saving to support edits and parsing of key information and saving in other data types, e.g. to highlight sections of an email being saved as a progress update, and convert those text sections to Todos. |
| 17 |
Added context menu to long text fields
in both standard and "popup" modes. The
menu includes Copy, Cut and Paste
options as well as a "Create Item"
option with "Event", "Todo" and
"Progress Update" options.
Selecting one of the "Create Item"
options will create a new item and place
the selected text in the
description/comment field then open the
details window. If no
text is selected then all the text is
used. Note: Long text fields, must be double clicked (to bring into focus the rich text editing format) first in order to display the context menu, eg. double left-click in it first so it has a cursor. If no text is selected and you right click on an underlined spelling mistake you will get the spell check menu instead. |
| 18 |
Added admin only “Create working time
records” function on “AdvancedDatabase”
menu. This will destroy any existing
time card records and create new ones
for all users including the “-All-“
user. Note: “Set Working
Time” function is disabled until working
timerecords created. |
| 19 | Added capability of making User (picklist) List fields editable within GAPR views. Normally they are only editable by the db Admin using the Preferences/Terminology function. DB admins can now set the "format" of any list field to "AdminEdit" or "UserEdit" via Preferences/Customize Fields. When set to "UserEdit" the list includes a "-Customize-" option which opens a limited Terminology editor for the list (users cannot delete items but can add, edit, move, import etc). This is available in details views, GAPR Outline in-place editing and all related data/Resource view in-place editing. |
| 20 | Added code to support ManagePro Startup and Synchronizing functions to run in the background, e.g. allowing users to engage with other programs while those two activities are underway. |
| 21 | Improved the search function, such that if a record is identified, but not visible in the view the user is accessing, the User can still double click on the record from within the Search query display and access the record's details and related data |
| 22 |
Added synchronization reminder alert
capability (General Preferences/Alerts).
Users can now specify how often
ManagePro should remind them to
synchronize, and if they should be
reminded to synchronize upon exiting the
program. |
| 23 | Added feature whereby people can be assigned to a meeting from within the People and Meetings/Meeting tab view regardless of which business group the meeting is assigned to, which allows for easier viewing rights. |
| 24 | Changed the subject line of emailed progress updates to include the title of the related goal for easier identification. |
| 25 | Added right click "Insert Timestamp" option when entering data in Notes, todos, progress and event comment fields, to allow for easier tracking of the history of comments. |
| 26 | Re-configured that attachment of url based documents to provide more options and make it easy to save documents as urls or .mht records. |
| 27 | Extended Sharepoint capability to be able to access multiple Sharepoint sites, previous versions only supported one site. Sharepoint locations are defined in the General Preferences/Sharepoint option and are available as a drop down list when attaching documents using the Sharepoint button. |
| 28 | Added a Favorites button to ribbon control, And the right click options of "Add to Favorites" and "Remove from Favorites" to act upon the currently selected GAPR record, e.g. add or remove from the ribbon control favorites menu. Clicking any record displayed in the Favorites list immediately takes the user to that record (if available within the view currently being used) - or prompts the User to select a different (more all inclusive) view |
| 29 | Added a right click "copy" function to the audit trail, so that previous versions of long text field entries could be retrieved. |
| 30 | Added email notification as defined in the General Preferences/Notifications to support auto email when goals are created, completed, and when todos are created and completed, auto-notification of entered progress updates already existed in previous vesions. |
| 31 | Added three new text fields to database capacity. |
| 32 | Added private flag to progress updates. |
| 33 | Added "Clear" function to scorecard tabs, the effect of which removes the score calculation and the record from inclusion in the general scorecard tab view. |
| 34 | Added the option to apply 256 bit encryption to passwords and long text fields of private records. |
| 35 | The ability to add/attach documents from the Ribbon control at the top of the program and right click menus has been added. |
| 36 | Added button to Timeline control to turn off/on display of parent durations. This declutters the gantt chart view significantly, making it much easier to see relationships between durations of successive tasks. |
| 37 | Added ability to set both company wide holidays and personal holidays or time off, and set the duration of a work day in hours for each individual, via the "Program Button/Set Working Time" option. Resource allocation now adjusts for both company wide or corporate holidays, as well as individual time off and individual schedules (e.g. 4 day vs 5 day work week). |
| 38 | Completely rewrote the Resource Allocation code and now provide resource allocation planning with the ability to assign people by either # of hours or % of time to a task, plus the ability to see availability across direct reports in a graphical format. |
| 39 | Built an all new resource allocation capacity planning graph, based upon the user or business group selected in the user drop down menu. Available via the Capacity Planning button. |
| 40 | Added 64 bit installer and compatible version of ManagePro. |
| 41 | Added ability to do multiple sorts within any grid view, to add additional sorts (e.g. sort by date, then priority, then user…), just use the Shift Left mouse click on each additional column heading. |
| 42 | Added new wizard based performance metrics setup and display and the following pre-formatted performance scorecards by person: 1. % of work completed on Time, 2. Average days variance from the original due date for work completed, 3. % of work completed within the estimate hours, 4. Average # of hours variance from the estimate for work completed, 5. % of work completed within budget, 6. Average $ variance from budget fro work completed, 7. % of work that has current progress updates, 8. % of Todos that are completed within Due Date. |
Can you believe it? Are you saying "Wow!"?
We're pretty tired and very happy about what we've put together in this release. And thanks for supporting us, bottom line it's your Annual Maintenance dollars hard at work.

There are a couple of recurring questions that we regularly hear from you, our community of users. We've tried different approaches to address those questions, but it has always felt like it wasn't quite enough to fully help users get over the hump of deployment.
Well actually we hear two questions and we see one process over and over again. The questions are... ready?
Our thinking about both questions has changed
significantly in the past few years (and particularly in
the last 3 months) as we have worked
with many organizations - watching some of them generate
multi-million dollar returns in a just a few months, and
others no returns at all. Over the last few months
we have developed a new, simple model for success that
directly addresses three key
milestones which must be mastered to have a successful
outcome:
Three Milestones in Using ManagePro to Boost Your Success
In each of these areas there are choices every user is faced with that, will either result in success, or a stumble and failure based upon what you do. Most people don't have the map or the correct guide of "do's and don'ts" to navigate through these three areas... If this is you, perhaps you aren't even aware there is a map, and so proceed based upon gut instinct, what you've done in the past, or some other rule of thumb. In this economy, who can afford to do that?
The Silver Bullet we're going to launch at the beginning of the year is a video series with me directly working with you. A video series in which I walk through each milestone above, sharing all the tips, step-by-step directions, and pitfalls to avoid, as if I was right in your office.
I'm going to set aside a certain number at a 50% discount for those of you who want to jump on this offer. I'll explain more and make that offer available in December. Prior to the release of the Silver Bullet, I'm going to be giving away some powerful resources I use in helping other navigate the three milestones. I'm going to give away one in this newsletter (Tracking Loss Time). Keep reading.
Tracking Loss Time
With the economy sputtering along, it is incredibly important for everyone to spend their time on what creates value, on the right priorities, working efficiently.
Yes, right, but what most people report is that they already have more to do than they can complete in a single day. They don't have any time. They're working as hard as they believe they can, and the entire discussion about time and time management talk gets lost on most everyone, except a few walking around with those day planners or some such thing.
Here's a secret, the whole concept of time and value, are actually cornerstones to building a "better" work solution in ManagePro.
Here's another secret, you can't tell people that, you have to help them prove it for themselves. How do you help them to prove it for themselves?
One approach is for you to take them through a simple exercise using the form I've provided a link to below. If you walk through the exercise the right way, you'll get a "Oh oh!" response. If you do it incorrectly, you'll get a "ho hum... next" response. More about that in the upcoming Silver Bullet series.

Have a great Thanksgiving weekend... lots of success using ManagePro version 9.0, and a really focused, productive December in the midst of the angst of the economy and Joy of the Season.
