Locks & Access Rights
When a User opens up their own GAPR view, the records they see will be in one of three access states.
1. First, if there is no lock symbol to the left of the record, then the (logged in) User has full access rights to that goal. They can edit any field within the goal and move the goal around the GAPR view. They can also delete the goal from the database. The User has full rights to any new goals they add to the database.
2. If there is a Yellow Lock symbol next to the goal (the goal has been created by someone else and assigned to the logged in user), then the User has limited rights to that goal. Specifically they cannot move, promote, demote or delete it. They cannot edit the Name or Risk Management fields. If the creator did assign Start or Due Date values, than the User will find those fields to be read-only as well. They can edit the rest of the fields as well, add progress updates, to-dos and events, and attach documents. All of this is designed to allow managers to assign goals to direct reports without the risk that the goal will be deleted, renamed, or assigned different dates.
3. The third access state is one designated by a Red Lock to the left of the title. This is a goal that the User has no access rights to at all. They cannot edit any of the fields, nor can they move, promote, demote or delete it. These are goals functioning as connector or Bridge goals within the MP tree structure of goal display. Bridge goals are displayed when needed to view a complete goal chain down to the goal assigned to the user. All details of Red Lock goal are read-only.
When the logged in User selects other users’ from their User drop down list, the access is read-only to all goals assigned to the selected user, whether there is no lock or a Yellow Lock to the left of the record. Red locks are for display only, and provide only read-only access to their details.
Note:
Within MP, when users create a goal and then assign the goal to someone else, they are still the Author/Creator of the goal. You can change the “authorship/creator” of it to whom-ever you wish – most typically the person you have assigned responsibility for completing the objective.
Changing authorship in MP removes what would have been a Yellow Lock in front of the record for the assigned person and given them full rights to edit as they deem appropriate, including deleting the record and/or moving it to a new goal tree structure.
